Steps for Officer Payroll deduction
purchase from a department.

For firearms-Order submitted by hard copy to include sales tax.
Originals required on any firearm purchase.

    • If a gun is being purchased, we must have a correctly formatted department letterhead (original paperwork - Fax will not be accepted).
    • We must have a purchase order or letterhead stating that the items being purchased are for the individual as a payroll deduction and sales tax must be included if applicable. (P.O. only may be faxed) (TX, GA, TN, or KY).

Non Firearm purchase- Order submitted by hard copy to include sales tax.
Fax is OK as long as there is not a firearm.

    • We must have a purchase order or letterhead stating that the items being purchased are for the individual as a payroll deduction and sales tax must be included if applicable. (TX, GA, TN, or KY). Fax OK on non firearm purchases.

Good sample wording for payroll deduction might read as follows and appear on the purchase order or on letterhead signed by the officer's supervisor.

Officer John Smith will be purchasing the following items through the department as a payroll deduction.
  • List of items with pricing.
  • Total to include shipping and sales tax.
